About ICD Vietnam - Wooden Pallet Manufacturer & Exporter

ICD Vietnam is a wooden pallet manufacturer and exporter headquartered in Hanoi, Vietnam, with over 10 years of continuous production. We supply heat-treated, ISPM-15 compliant wooden pallets directly to importers, freight forwarders, and procurement teams across Europe, North America, Japan, and Asia-Pacific - with full export documentation and flexible FOB or CIF pricing.

Founded in 2011 under the registered name ICD Vietnam Co., Ltd. (MST: 0105547551), we have grown from a regional supplier into a trusted export partner for B2B buyers who need reliable volumes, consistent quality, and paperwork that clears customs without issues. Our production facilities are located in northern Vietnam, close to Haiphong port, which keeps lead times short and container loading costs low.

This page covers what international buyers typically need to evaluate us as a supplier: manufacturing capacity, quality control steps, certifications, export logistics, and how we handle communication across time zones.

Manufacturing Capacity & Facilities

Our production is concentrated in northern Vietnam, where timber supply chains for pine (Pinus merkusii) and acacia are well established and raw material costs remain competitive versus Southeast Asian peers. The facility runs dedicated lines for standard pallet assembly and a separate line for LVL (Laminated Veneer Lumber) engineered pallets, which handle heavier static loads - typically 3,000-4,000 kg - and are preferred by buyers shipping dense industrial goods.

Standard weekly output covers both 1,200 x 1,000 mm (Asian standard) and 1,200 x 800 mm (Euro / EUR1) dimensions. Custom sizes - including 1,100 x 1,100 mm for Japanese market requirements and non-standard footprints for specific production lines - are accommodated with a slightly longer lead time. Buyers with recurring volume requirements can arrange blanket orders with scheduled monthly or quarterly releases, reducing their procurement overhead and securing stable pricing.

Quality Control: From Raw Material to IPPC Stamp

Quality control at ICD Vietnam follows a five-stage process that mirrors what customs authorities and end-buyers typically audit. Each stage has a documented checkpoint, and records are available for buyer review on request.

Stage 1 - Raw Material Sourcing

Timber is sourced from Vietnamese forestry cooperatives and certified plantations. We require incoming timber to have a moisture content below 25% at intake. Boards with visible splits, fungal staining exceeding 10% of surface area, or knot clusters that compromise structural integrity are rejected at intake. This upstream rejection step reduces downstream rework and keeps finished pallet weight consistent - important for buyers who calculate container loading plans based on declared pallet weight.

Stage 2 - Kiln Drying and Heat Treatment

All export pallets are processed through kiln drying to bring moisture content to below 18%, measured with a calibrated pin-type moisture meter on a sample basis per batch. Heat treatment (HT) - the method approved under ISPM-15 for most destination markets - requires the core temperature of the wood to reach 56 degrees Celsius for a minimum of 30 continuous minutes. This eliminates insects, larvae, and pathogens that could otherwise trigger phytosanitary holds at the destination port. We do not use methyl bromide (MB) treatment due to environmental restrictions in EU and several other key markets; HT is the standard on all our export orders.

Stage 3 - Assembly and Structural Inspection

After drying, boards are cut to dimension and assembled into pallet frames using ring-shank nails or screws, depending on buyer specification. Assembled pallets undergo a structural inspection: deckboard gap width (maximum 75 mm for standard export pallets), nail penetration depth, and notch dimensions for forklift entry are verified against the agreed technical drawing. Pallets that fail dimensional tolerance checks (+/- 3 mm on length and width) are set aside for rework rather than passed for IPPC stamping.

Stage 4 - IPPC Stamping and Certification of Treatment

The IPPC mark is applied only after heat treatment is verified. Our stamp includes the four mandatory elements: the IPPC wheat-ear symbol, the country code (VN), the producer/treatment provider registration number issued by the Vietnamese Plant Protection Department, and the treatment method code (HT). A fumigation certificate or phytosanitary certificate - whichever the buyer's customs authority requires - is issued by the relevant Vietnamese authority and included in the export documentation package. Buyers shipping to the EU, USA, Australia, Canada, or Japan should confirm with their customs broker which document format is expected; we supply both on request.

Stage 5 - Pre-shipment Inspection

Before container stuffing, a final count and visual inspection confirms quantity, IPPC stamp presence on all four sides, absence of mold or fresh insect damage, and correct labeling per the packing list. Buyers who require third-party inspection (SGS, Bureau Veritas, or similar) can arrange this at their cost; we coordinate factory access and provide all relevant batch treatment records to the inspector.

Certifications & Compliance

Compliance documentation is the point where many Vietnamese pallet suppliers fall short. Below is what ICD Vietnam provides as standard, and what can be arranged on request.

For procurement teams evaluating export compliance:

Procurement and logistics teams need to verify three things before approving an overseas pallet supplier: (1) Is the IPPC registration number valid and traceable in the Vietnamese Plant Protection Department database? (2) Does the stamp appear on all four sides of every pallet, not just sampled units? (3) Is the treatment method (HT or MB) accepted by the destination country's customs authority? ICD Vietnam supplies a treatment batch record with every shipment so buyers can answer all three questions without re-inspection on arrival. ISPM-15 compliance covers export to over 180 countries currently enforcing the standard, including all EU member states, the USA, Canada, Australia, Japan, and South Korea.

Why International Buyers Choose Us

Vietnam produces an estimated 85 million wooden pallets per year across roughly 3,000 manufacturers. The difference that matters to a B2B buyer evaluating a new supplier is not price per unit alone - it is the total cost of a failed shipment. A pallet rejected at a German or US port for a missing IPPC stamp, incorrect moisture content, or a fumigation certificate that does not match the batch number costs multiples of the purchase price in demurrage, re-export, and delay. Below is what buyers consistently cite after working with us.

For importers and freight forwarders evaluating suppliers:

Importers and freight forwarders need a supplier whose documentation matches the physical goods, every shipment. ICD Vietnam assigns a single point of contact per account who speaks English and is reachable via WhatsApp (+84 983 797 186) during Vietnamese business hours (GMT+7, 08:00-18:00 Monday to Saturday). We confirm order specifications in writing before production begins, send pre-shipment photos of IPPC stamps and stacked container loading for buyer sign-off, and send scanned documents (packing list, commercial invoice, bill of lading, phytosanitary certificate) within 24 hours of container departure. Buyers who have previously dealt with suppliers sending incorrect documents after vessel departure will recognize why this matters.

Export and Logistics Support

ICD Vietnam works with licensed freight forwarders at both Haiphong and Ho Chi Minh City ports, covering FCL (full container load) and LCL (less than container load) options. For buyers placing their first order, we can connect you with a trusted local forwarder who handles booking, customs declaration, and documentation consolidation. This reduces the coordination burden on the buyer's side, particularly for teams that do not have a regular freight agent in Vietnam.

Standard export documentation for each shipment includes: commercial invoice, packing list, bill of lading (or sea waybill), certificate of origin, phytosanitary certificate or fumigation certificate (per destination requirement), and IPPC stamp batch treatment record. All documents are issued in English. Additional documents required by specific destination authorities - such as a Wood Packaging Material declaration for the US CBP, or a timber legality declaration for EU buyers under EUDR-adjacent due diligence frameworks - can be prepared on request.

Our Product Range

We manufacture three main pallet types, each suited to different cargo profiles and buyer requirements. Full specifications are available on the product pages.

Frequently Asked Questions

What is the minimum order quantity for an export order?

The minimum export order is 1 x 20-foot container, which typically holds 300-500 standard pallets depending on size and stacking configuration. Smaller quantities can be arranged via LCL (less than container load) shipment, though unit cost and lead time will differ. Contact us with your required quantity and destination for a specific quote.

Are your pallets ISPM-15 compliant for export to the EU and USA?

Yes. All export pallets are heat-treated (HT) to the ISPM-15 standard and carry a valid IPPC stamp issued by a Vietnamese Plant Protection Department-registered treatment provider. The stamp includes the IPPC symbol, country code VN, registration number, and treatment method (HT). A phytosanitary certificate or fumigation certificate is included with each shipment as required by the destination country.

Can you produce custom pallet sizes and specifications?

Yes. We produce non-standard dimensions to buyer technical drawings. Common custom sizes include 1,100 x 1,100 mm (Japan), 1,200 x 1,200 mm, and single-face or double-face configurations with specific deckboard spacing. A physical sample is produced and approved before the full production run begins, ensuring the finished goods match the agreed specification.

What is the typical lead time from order confirmation to shipment?

Standard sizes: 7-15 working days from confirmed order and deposit received. Custom dimensions or first-time orders requiring a pre-production sample: 15-25 working days. Lead times may extend during Tet (Vietnamese Lunar New Year) and national holidays. We advise buyers with time-sensitive shipments to confirm dates at least 4 weeks in advance during Q1.

Our Commitment

ICD Vietnam's position is straightforward: we are a manufacturer, not a trading company. Every pallet in your order is produced in our own facility under our quality control process, not sourced from a third party and re-stamped. This means we can stand behind the documentation we issue - and if an issue arises, we investigate at the production level rather than passing the problem back to a sub-supplier. For buyers who have previously dealt with opaque supply chains in Vietnam, this distinction matters.

We do not over-promise lead times to win orders. If our production schedule cannot meet your required delivery date, we say so at the inquiry stage so you can make an informed decision. We believe long-term supplier relationships are built on accuracy, not optimism.
