What Happens After You Send Your RFQ

Our standard order process is straightforward and transparent. Here is what to expect from initial enquiry through to export:

• Quote - we send a detailed price sheet covering unit price, MOQ, lead time, and available Incoterms (FOB, CIF, CFR).
• Sample (optional) - for first-time buyers or custom sizes, we can ship 2-5 sample pallets for inspection and load testing before full production.
• Order confirmation - once you approve the quote, we issue a proforma invoice and confirm production scheduling.
• Production - standard orders complete within 7-15 working days depending on volume; rush production available on request.
• Quality control - every batch is inspected for dimensional accuracy, moisture content (target below 18%), and ISPM-15 stamp compliance before leaving our facility.
• Export documentation - we prepare the commercial invoice, packing list, certificate of origin, phytosanitary certificate, and fumigation certificate as required by your destination country.

Compliance and Documentation

Every export pallet we produce is heat-treated to a minimum core temperature of 56 degrees C for at least 30 continuous minutes, meeting the ISPM 15 standard enforced in over 180 IPPC member countries. The IPPC stamp on each pallet shows the country code (VN), our facility certification number, and the treatment code (HT). A phytosanitary certificate issued by the Vietnamese Ministry of Agriculture and Rural Development accompanies every shipment.

For buyers importing into the EU, US, Canada, Australia, Japan, and South Korea, our documentation package satisfies all phytosanitary inspection requirements at the port of entry. Frequently Asked Questions

What is the minimum order quantity for wooden pallets from ICD Vietnam?

Our standard minimum order quantity is 200 pieces per size per order. For sample orders (first-time buyers or new dimensions), we accept 2-5 pieces at a slightly higher per-unit cost. Long-term supply contracts of 500 or more pieces per month qualify for volume pricing - include your monthly forecast in your RFQ.

Do all pallets come with an ISPM-15 certificate and IPPC stamp?

Yes. All export pallets are heat-treated (HT) by default and stamped with a valid IPPC mark. A phytosanitary certificate from the Vietnamese Ministry of Agriculture accompanies every shipment. If your order is for domestic use only, untreated pallets at a lower price are also available - specify this in your enquiry.

What wood species do you use, and does it affect the price?

We produce pallets from plantation pine, acacia, and LVL (laminated veneer lumber). Pine is the most affordable option and suitable for loads up to 1,500 kg static. Acacia offers higher density and hardness for heavier applications. LVL provides the most consistent load-bearing performance - typically 2,500-4,000 kg static - and is preferred for export pallets requiring tight dimensional tolerance. Pricing varies by species; we will include all three options in your quote so you can choose based on cost and performance requirements.

How long does production and shipment take?

Standard production lead time is 7-15 working days after order confirmation. Sea freight from Hai Phong (North Vietnam) or Ho Chi Minh City port adds 18-25 days to Europe and 25-35 days to the US West Coast. Air freight is available for sample shipments. We can coordinate with your forwarder or recommend a reliable freight agent from our network.
